Vape Retailer Takeback Checklist

This checklist is for UK vape retailers that need a practical way to document takeback, returned-vape storage, staff responsibilities and collection evidence.

It is not a compliance certificate or legal opinion. It is a working checklist to help you see what exists today and what needs setting up.

1. Customer Takeback Notice

Check that customers can clearly see how to return used vapes.

  • In-store notice displayed near the counter or vape display
  • Website or delivery information for online sellers
  • Staff answer ready when customers ask where used vapes go
  • No wording that suggests vapes can go into general waste

2. Returned-Vape Staff SOP

Your team should have a simple written process covering:

  • accepting used devices
  • checking for damaged, swollen, leaking or hot batteries
  • isolating suspect devices
  • keeping returned devices away from general waste and stock
  • escalating incidents to a named person

3. Storage Checklist

Returned vapes should be stored in a controlled location, not loose behind the counter or in a mixed waste bin.

Record:

  • container type
  • location
  • maximum fill level
  • segregation from stock and combustible materials
  • staff responsible for weekly checks

4. Returned-Vape Log

A simple log is usually enough to show the process exists.

Track:

  • date received
  • rough quantity or container fill level
  • any damaged-device notes
  • date collected
  • carrier or partner route
  • paperwork reference

5. Collection Route

Returned vapes need a real onward route. Before using a contractor, check:

  • they accept vape devices or battery-containing WEEE
  • they provide appropriate transfer or consignment records
  • they can explain where material is treated
  • you know what paperwork to keep

6. When to Escalate

Retailer takeback setup may not be enough if you:

  • import vapes into the UK
  • sell own-brand products
  • sell through online marketplaces
  • hold large volumes of unsold or returned stock
  • have had a battery incident or enforcement contact
